Cancellation and Refund Policy
Effective date: October 11, 2026
How to Cancel
Customers may cancel according to the cancellation method provided in their account, customer billing portal, or written service agreement.
If self-service cancellation is not available, the published page must clearly provide the verified support contact and explain how to submit a cancellation request.
When Cancellation Takes Effect
The effective date of cancellation and whether service continues until the end of the paid billing period must match the actual subscription configuration and customer agreement.
Do not promise immediate cancellation, end-of-term access, or a specific notice period unless that policy has been approved and implemented.
Renewal
Customers should be able to understand whether cancellation prevents the next renewal and whether any further charges may apply under the accepted agreement.
Where applicable, the system should clearly communicate the subscription status and next renewal date.
Refunds
Refund eligibility depends on the terms presented at purchase, the customer agreement, and applicable law.
Do not promise that all payments are refundable or nonrefundable unless that policy has been explicitly approved and reviewed for legal compliance.
Facility Data and Transition
Before a subscription ends, customers should review their need to export relevant facility records and arrange an appropriate transition.
The final policy must specify which export tools are available, how long access remains available, whether read-only access is provided, and when data may be deleted.
Do not lock customers out of records or delete resident data contrary to applicable law or contractual obligations.
Cancellation Confirmation
Where supported, provide a confirmation showing that the request was received and the effective cancellation date.
